Tool Crib & Door Monitor Duties

Introduction
Monitoring is a vital responsibility at the Wood Club. The shop cannot operate unless a monitor is on duty. There are two key monitor roles: Floor Manager and Tool Crib.
Both monitors are responsible for opening the shop at the beginning of the day and securing it at closing. During the day both monitors are responsible to see that all of the duties are completed. It is the goal to have two monitors during the winter months when the shop is heavily used but at times there may only be one monitor available. It is impossible to give exact instructions for every scenario but the following is supposed to be helpful information to keep the shop running smoothly.
General Requirements
- All members must scan their badges before entering the Tool Crib.
- If a member does not have their badge, they must retrieve it before entry is allowed.
- Keep and eye out for people entering the shop without scanning in.
- Respond courteously to visitors’ questions.
- Learn tool names and locations as time permits.
A.M. Shift Duties
- Raise and secure the overhead counter door.
- Open the top half of the entrance hallway half-door.
- Make sure the lights are on and the Dust Collection system is operating.
P.M. Shift Duties
- Lower and secure the overhead door.
- Close and lock the entrance hallway half-door.
- Ensure the Shop Manager has the shop keys.
- Turn off Tool Crib lights.
- Lock the Tool Crib door.
Tool Crib Access & Tool Checkout
- Tools should be checked out at the counter.
- Do not allow unaccompanied member free access to the Tool Crib.
- Accompany each member and leave one chip for every tool checked out.
- Always take a chip when a tool is checked out.
- Count chips on the ring before handing them out and when they are returned (verify there are 10 chips).
- Place the member’s SCW Recreation Card in the slot above the chips.
- If a member forgets their Recreation Card, a driver’s license may be used.
- When returning the Recreation Card, verify the photo matches the member.
Tool Condition & Maintenance
- Inspect router bits when checking them in and out.
- All tools must be cleaned by the user before return (air nozzles are located in the sanding area).
- If a dull tool is returned, attach a note and place it in the box marked “Dull and Damaged Tools.”
- Repair requests: Instruct the member to fill a form that is available on the Maintenance Room door.
Lost or Missing Chips
- If a chip is lost, contact the Shop Manager.
- Leave a note on the ring with the member’s name and badge number.
Overnight Tool Checkout
- Members must check out overnight tools at the front counter only (badge must be scanned for entry).
- Have the member complete the checkout form and clip the member’s badge to the form.
- Checkout time is the last 30 minutes the shop is open.
- Tools must be returned by 9:00 a.m. the next day (11:00 a.m. on Saturday).
Badge & Scanner Problems
Check the following:
- Is the person a member?
- Are dues paid?
- Does the badge scan and the screen says they are blocked?
- Was the badge scanned correctly?
- Is the badge broken, see an officer for a replacement.
Visitors
- Tours: Announce over the intercom that a tour guide is needed. Monitors are not to give tours.
- Supply the visitors with a Visitor Badge and Safety Glasses that are to be returned when done.
Emergencies & Injuries
- Call 911 if necessary.
- First Aid and CPR kits are located by the sinks in both shop areas.
- The AED is mounted above the water fountain outside the Tool Crib door.
Telephone & Paging
- Answer the telephone promptly.
- When paging a shop member, hold the microphone about 12 inches from your mouth and speak clearly and slowly.
- Use your finger to depress the receiver lever before returning the phone to its position. This will help prevent a loud banging noise over the intercom.
Floor Monitor Duties
Safety is the FIRST PRIORITY: Rules are to be monitored and adhered to.
General Safety Guidelines
- Must wear safety glasses.
- Watch for:
- Proper eye protection (safety glasses with side shields).
- Safety violations.
- Equipment abuse.
- Members cutting unauthorized material (refer to list on wall).
Prohibited Attire
- Members are not to wear:
- Long sleeves.
- Open-toe shoes or sandals in the shop.
Responsibilities
- All members are responsible for their own safety and cleaning up their own mess; you may need to remind them.
- In case of FIRE or INJURY, call 911 immediately:
- If a member is injured, keep them on the floor: DO NOT PUT THEM ON A TABLE.
- Do not transport any injured person.
- AED (Heart Defibrillator) is located in the center concourse of the Kuentz Center by the restrooms and pop machine.
- First Aid & CPR kits are by the sinks in both shop areas.
- If blood is present or you are working on an injured person, put on the rubber gloves for your protection.
- If there is a fire, evacuate the wood shop.
Assistance & Work Conduct
- Offer assistance when asked or if you see a need.
- Do not work on personal projects.
- Stay in the machinery area.
- Write up any equipment that is in need of attention.
Equipment Check
- Check and ensure that:
- Band saw arms are in the lowered position.
- Sanding belts are clean.
- Lathe spindles are not in the locked position.
- Lathe operators must wear face shields when the machine is running.
- Wood lathes are not to be running left unattended.
- Splitters on the table saws are there as a safety device. It is highly recommended that members use them.
- The shop does not repair chairs or ladders because of the legal liability.
- Check the air pressure gauge by the sanding area occasionally; inform the shop manager if there is no pressure.
Clean-Up Procedures
- Clean up starts 30 minutes before the end of a shift:
- Dump waste baskets.
- Clean under table saws.
- Sweep floors.
Tool Crib Monitor Duties
General Duties
- ALL MEMBERS MUST RUN THEIR BADGES THROUGH THE SCANNER.
- IF THEY DO NOT HAVE THEIR BADGE, CHECK THE “MEMBERSHIP NOTEBOOK” TO SEE IF THEY ARE UP TO DATE IN MONITOR CREDITS BEFORE LETTING THEM IN!
Morning Shift Responsibilities
- Raise and secure overhead counter door and open top of entrance hallway half-door.
- Call the next day’s monitors.
Afternoon Shift Responsibilities
- Continue trying to contact anyone not reached in the morning.
Crib Management
- Keep crib door from the workshop closed and locked.
- Allow only one person to enter each time.
- Go with the person and leave a chip for any tool taken.
- Put members’ SCW Recreation Card in the slot above chips.
- Count chips on the ring before handing them to members and when they are returned (make sure there are 10).
- Always take a chip when you go to get a tool.
- If a chip is lost, contact the Shop Manager and leave a note with the member’s name and badge number on the ring.
- If a member forgets their Rec card, their driver’s license may be used for checking out chips.
- Always inspect router bits when checking them in and out.
- All tools are to be cleaned by the user when returned (use the air nozzles at the sanding area).
- When returning a Rec Card, compare the photo to the member.
Counter Management
- Keep the counter clear.
- Respond to visitors’ questions.
- Educate yourself on tool names and locations as time permits.
- If a dull tool is turned in, place it with a note in the box marked “Dull and Damaged Tools.”
- If a tool is broken, call the Shop Manager, and they will fill out the broken tool form.
- Answer the telephone.
- When paging a shop member, keep the microphone about 12 inches from your mouth and talk clearly and slowly.
Checking Out Tools
- When checking out tools for overnight usage:
- Member must check out tools from the front counter, not the side door (they must scan their badge to get in).
- Have the member fill out the form and clip their badge to the form.
- Check-out time is the last ½ hour the shop is open and must be returned before 9:00 a.m. the next day (11:00 a.m. on Saturday).
Badge and Scanner Issues
- Problems with badges and scanner:
- Is the person a member?
- Are dues paid?
- Do they have monitor credits?
(For the above three problems, check the MEMBERSHIP NOTEBOOK located on the counter). - Was the badge scanned correctly?
- Is the badge broken? There is a $4.00 replacement cost.
- If the badge is lost, doesn’t work, or needs a replacement, call the computer person listed on the wall. They will need the name, badge number, and phone number of the member.
Visitor Management
- Visitors:
- Wanting a tour: call the Shop Manager or Board Member.
- Wanting an item repaired: call the Shop Manager.
- Wish to join Wood Club: the red notebook with the sign-up sheet is next to the Security Monitor in the Tool Crib.
- If a person becomes combative about anything, call the Shop Manager.
